Perform the role as a general representative of the management and act on their behalf in guest relations and emergencies during the absence of the Front Office Manager and General Manager. Oversee and direct all aspects of the hotel operation under the general direction of the Front Office Manager or his delegate within the limits established by Nina Hospitality.

- Greet and bid farewell to all VIPs and ensure all preparations for their arrival and departure are carried out.
- Make regular courtesy calls to a selection of FIT guests to check their comfort and satisfaction.
- Follow up special requests from guests.
- Conduct daily room inspection and check VIP rooms to ensure all setups are properly assigned. Set a target for random room checking and coordinate closely with the Housekeeping Department for any defects found.
- Handle guest complaints diligently and professionally.
- Attend section morning briefing and regular departmental meeting.
- Manage and control all activities at Front Desk and to ensure a smooth and efficient operation during assigned shift. Rotation of overnight shift is needed.
- Ensure all public and service areas are clean and well maintained by frequent walk through.
- Alert Risk & Safety Manager when coming across unauthorized individuals loitering around the hotel.
- Report to respective departments when any disorders or discrepancies are detected and make recommendations for prevention of recurrences.
- Make regular spot checks to ensure all personnel are fulfilling their duties well.
- Report in the GEM log for incidents which require The Management’s attention and follow up.
- Handle valuable ‘Hold for pick up’ and valuable “Lost and Found” item for guest.
- Monitor the Front Desk operation in the absence of Front Office Manager/Assistant Front Office Manager.
- Assist Front Desk to achieve maximum occupancy and smooth operation especially during overbook situation.
- Assist in the Front Desk operation during the peak period and maintain the efficient and professional service has been delivered.
- Enforce the Hotel credit policy by monitoring requests for paid out, cash advance and personal cheques.
- Knowledgeable about the hotel’s occupancy and average rate of the previous night and the following three days. Have a comprehensive knowledge about the hotel’s forecast for the following three months.
- Handle problems of door lock and safety deposit box lock.
- Constantly aware of functions and events of the day and the near future.
- Handle Lost and Found cases and give instruction for further investigation or police assistance if necessary.
- Arrange medical consultation assistance to guest if necessary.
- Constantly check the staff’s grooming standard and discipline as according to hotel’s policies.
- Carry out regular patrol to ensure fire safety regulations.
- Act as a Commander of ‘Emergency Response Team’ and give instruction and control over any emergency situation.
- Coordinate with other departments during typhoon and bad weather signal hoisted to ensure the smooth operation.
- Ensure the accuracy of night reports.
- Check and verify the daily room rate report and responsible for running of the day-end closing of the computer system.
- Reply email of guest inquiries.
- Handle ‘Dead Move’.
- Conversant with all Reception, Cashiering and Concierge procedure.
- Any other duties or projects as assigned by the superior(s).

- Diploma or Degree holder of Hotel Management or related disciplines
- Minimum of 5 years’ experience in Front Office and at least 2 years working in a managerial position
- Excellent command of spoken and written English, Cantonese and Mandarin
- Familiar with Word, Excel & PowerPoint
- Always be competent and confident
- Self-motivated, able to work independently and under pressure
- Service-oriented and good communication skills
- Able to work precisely and accurately
- Skilful in complaint handling, crisis handling & performing leadership role
- Excellent analytical, observation skills and multi-tasking ability
- Excellent trouble shootings, problem solving and decision making skills
