Job Overview

  • Project administrative and clerical supports as directed by GM-Contracts, Senior Staffs and Executive Secretary as assigned

Responsibilities

  • Help to consolidate the monthly project financial summary reports.
  • Conduct the performance evaluation summary with the contractor/consultant/supplier
  • Manage the process of quotation in/out for the minor building and maintenance work
  • Assist in the documentation works for the pre-qualification exercise
  • Initiate workflow and upload incoming correspondence to electronic filing system - Aconex System.
  • Maintain accurate records of procurement activities and contracts
  • Prepare the consolidation table for the material bidding exercise
  • Support the reporting works for all the RQSM/RQS
  • Prepare the File documents, drawings and approved samples etc. and update the filing index
  • Maintain hard copy and electronic filing system.
  • Monitor stocks of office supplies (paper, stationery etc.) and report when shortage
  • Organize and schedule meetings and arrange the conference rooms.
  • Answer phone calls and redirect them when necessary.
  • Provide administrative and clerical support to the related team members

Requirements

  • Diploma or tertiary education in related construction subjects
  • Min 1 - 2 years related working experiences in construction companies or property developer
  • Must have strong and relevant writing, typing and computer skills;
  • Perform multiple tasks simultaneously
  • Reliable and high sense of responsibility,
  • Must be organized and detail-oriented,
  • Excellent interpersonal skills are required,
  • Warm and friendly attitude with decent look,
  • Keep information confidential
  • Experience in real estate developer / consultancy firm preferred.
