Job Overview

Lead a small team of administrative staff to ensure smooth daily office workplace operation and take part in company-wide initiatives so as to provide high quality workplace services for internal stakeholders

Responsibilities

  • Assist in strategic planning for full spectrum of office workplace services
  • Develop, review and implement office workplace operational policies and procedures, and other measures to ensure high quality service standard
  • Review and manage vendor contracts to ensure consistency and adherence with company policy
  • Assist in the planning and execution of company events
  • Prepare reports and presentations with statistical data, as assigned
  • Responsible for data collection, analysis and populating of annual sustainability report
  • Participate in renovation, relocation and maintenance projects, coordinate with contractors, suppliers and vendors, monitor and follow up of progress
  • Ensure office workplace health and safety
  • Assist in annual budget planning, monitor and control office expenses

Requirements

  • University Degree in Business Administration or related disciplines
  • A minimum of 10 years’ relevant experience, 5 years of which in a supervisory capacity
  • Good insight and understanding of latest technology trends
  • Strong consultation and presentation skills
  • Supervisory responsibility for a team of administrative staff
  • Ensuring the volume, quality and timeliness of task / services provided by self and others
  • Able to apply developed communication skill to exchange complex information and may occasionally influence others
  • Prior experience in office renovation and data management system is a plus
  • Able to work under pressure in a fast-paced environment
  • Proficient in PC applications such as Word, Excel, PowerPoint and Chinese word-processing
  • Fluent communication skills in English, Cantonese and Mandarin
